Managing Team Members: Roles, Removal, and Leaving

Admins manage the team list directly from the portal. Every change is logged to the activity feed.

Promoting or demoting

In the team section, each member shows a "↑ Admin" or "↓ Member" button depending on their current role. Clicking the button flips the role. You cannot change your own role, another admin has to do it.

Removing a member

Click "Remove" next to any member. A confirmation dialog appears. Removal is immediate, the person loses access on their next request. They keep any files they have already downloaded locally; removal does not unshare past deliveries.

Leaving the organization yourself

If you want to leave, click "Leave" next to your own row. This removes your membership. You will be signed out and cannot sign back in unless an admin re-invites you.

The last-admin rule

The portal blocks you from demoting or removing the final admin of an organization. To hand over ownership, first promote a second person to admin, then the original admin can safely be demoted or removed. This prevents the "locked out of my own account" problem.

What you can expect

  • Promote member → admin (any admin can do this)
  • Demote admin → member (any admin except the last one)
  • Remove a member or admin entirely
  • Self-removal via the Leave button
  • Every action writes a member.* audit event

Limits

  • Role changes do not retroactively scrub past downloads
  • Removing a member does not delete the audit events they generated
  • Reverting a removal requires re-inviting the person

What to do

  • Promote a second admin before demoting or removing the current one
  • Use Leave (not Remove) if you are removing yourself, the UI guides you there
  • Review the activity feed after any role change to confirm it landed

If something looks off

If a removed member retains portal access beyond a few minutes, contact [email protected], this should not happen and indicates a session cache issue.

Important context

The activity feed records every role change with the old role, new role, and who made the change. Compliance reviews can reconstruct the full membership history from that feed.
